Buying Auto Parts and Equipment for Your Business: Three Scenarios, Three Approaches

Every few months, someone in operations asks me to "find the best deal" on automotive supplies—whether that's car soap wax, portable air compressors, or replacement parts for our service vehicles. And every time, I have to resist the urge to send back a one-line answer.
Because the honest truth is: it depends. Not in a hand-wavy way. In a "your situation determines the right approach" way.
After managing procurement for our company's vehicle fleet and maintenance supplies since 2020, I've bought through just about every channel you can imagine. Direct from manufacturers, through distributors, from online marketplaces, from local shops. The approach that works depends almost entirely on three factors: how many vehicles you're supporting, how often you're ordering, and how much internal process you have to follow.

Scenario A: Small Operation, Lean Process
This is where most small businesses start. You've got a handful of company cars, a couple of service vans, maybe a truck or two. You're ordering supplies as needed—when someone tells you the tire inflator broke, or when the car wash soap runs out.
In this scenario, the biggest hidden cost isn't the unit price. It's your time.

Find your real scenario. Build the processes that match it. Don't overcomplicate, and don't under-deliver.
